- your name;
- email address;
- password credential in securely hashed form;
- account and authentication information;
- account status and related timestamps.
We do not store your password in plaintext.

- band lifecycle/status information.
Scheduling and availability information
We process the scheduling information you and other members enter, including:
- gig availability;
- rehearsal availability;
- dates associated with responses;
- changes or clearing of availability responses;
- your availability-reminder email preference;
- limited reminder-delivery state, such as when a reminder was last successfully sent, used to prevent repeated reminder emails.
This information is generally visible to appropriate members of the relevant band.
Invitations and join information
We may process:
- targeted invitations;
- reusable join links;
- invitation status;
- join-link redemption history;
- related membership information.
Session and security information
When you access GigDaze, we may process technical and security information such as:
- session identifiers;
- IP address;
- browser or device information;
- request timestamps;
- server and application logs;
- information used to detect abuse, troubleshoot errors, or protect the Service.
Authentication secrets and session credentials are handled using security controls designed to limit exposure.
GigDaze does not currently use third-party analytics, advertising, or tracking pixels. GigDaze configures transactional messages with general tracking, open tracking, and click tracking disabled.
4. Cookies and Similar Technologies
GigDaze uses technologies necessary to operate the Service, such as session-related storage required to:
- keep you signed in;
- authenticate requests;
- protect accounts and sessions;
- maintain security; and
- retain necessary first-party application state.
These are considered essential to providing the Service.
5. How We Use Personal Information
We use personal information to:
- create and maintain accounts;
- authenticate users;
- provide GigDaze features;
- display band membership and scheduling information;
- process invitations and join requests;
- save and display availability;
- allow managers and members to administer their bands;
- operate and secure the Service;
- detect fraud, abuse, security incidents, and technical problems;
- troubleshoot errors;
- send transactional emails used to provide requested features, currently including targeted band invitations, password reset messages, and manager-triggered availability reminders;
- communicate with you about your account or requests;
- comply with legal obligations;
- maintain and improve GigDaze.
6. Legal Bases for Processing
Where the GDPR, UK GDPR, or similar laws require a legal basis, we generally rely on the following:
Performance of a contract or steps requested by you For processing necessary to create your account and provide the GigDaze features you request.
Legitimate interests For reasonable security, fraud prevention, troubleshooting, administration, and protection of the Service and its users, where those interests are not overridden by your rights.
Legal obligation Where processing is necessary to comply with applicable law, legal process, or enforceable governmental requests.
7. When We Share Information
We do not sell your personal information.
We do not use GigDaze personal information for third-party targeted advertising.
We may disclose personal information in the following circumstances.
Other GigDaze users
Certain information is shared as part of the Service itself.
For example, members of the same band may see relevant:
- names;
- profile photos;
- roles;
- membership status;
- availability responses.
Managers may see additional information needed to administer a band.
DigitalOcean
We use DigitalOcean to host GigDaze infrastructure and databases.
DigitalOcean may process information on our behalf as necessary to provide hosting and infrastructure services.
Mailgun
We use Mailgun as our transactional email-delivery provider. To transmit a message, GigDaze sends Mailgun the recipient email address and the message content and metadata needed for delivery.
You may disable availability reminder emails in Profile. That preference does not disable invitations, password-reset messages, or service email needed for other requested features.
Legal and safety reasons
We may disclose information when reasonably necessary to:
- comply with applicable law or legal process;
- respond to lawful governmental requests;
- protect the rights, safety, or property of Benfield Creative, our users, or others;
- investigate fraud, abuse, or security threats;
- establish, exercise, or defend legal claims.
Business transfers
If Benfield Creative or GigDaze is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, information may be transferred as part of that transaction subject to applicable law.
8. International Data Transfers
Benfield Creative is based in the United States, and GigDaze is operated using infrastructure that may process information in the United States.
If you access GigDaze from the European Economic Area, United Kingdom, Switzerland, or another jurisdiction with international-transfer restrictions, your information may be transferred to and processed in countries outside your home jurisdiction.
Where legally required, we and our service providers use recognized mechanisms or safeguards for international transfers, such as applicable contractual protections or other lawful transfer mechanisms.
9. Data Retention
We retain personal information for as long as reasonably necessary to:
- provide the Service;
- maintain your account;
- preserve legitimate band and scheduling functionality;
- protect the Service and users;
- resolve disputes;
- enforce agreements;
- comply with law.
When you close your account, we will delete or de-identify personal information that is no longer reasonably necessary, subject to limited retention where appropriate for:
- security and abuse prevention;
- transaction or audit integrity;
- backups;
- legal obligations;
- dispute resolution;
- enforcement of agreements.
Information that was shared with other users or incorporated into legitimate historical band records may not always disappear immediately or completely, particularly where retaining de-identified or limited historical information is necessary to preserve the integrity of other users' records.
Backup copies may persist for a limited period before normal deletion or overwriting.
We do not retain personal information merely because it might someday become useful.
10. Account Closure
You may close your account using the account controls provided by GigDaze or by contacting:
help@gigdaze.com
If you are the only active manager of a band, you may need to designate another active manager before your account can be closed. This prevents an account closure from unintentionally leaving other users' band without an administrator.
Account closure invalidates active account access and triggers our applicable deletion or de-identification processes.
11. Your Privacy Rights
Depending on where you live, you may have rights concerning your personal information, including the right to:
- request access to your personal information;
- correct inaccurate information;
- request deletion;
- request restriction of certain processing;
- object to certain processing;
- receive certain information in a portable format;
- withdraw consent where processing is based on consent;
- appeal certain decisions concerning a privacy request;
- complain to an applicable data-protection authority.
GDPR transparency rules require users to be informed of rights such as access, correction, deletion, restriction, objection, portability, and complaint rights.
Virginia law also requires covered controllers to provide a clear privacy notice and a method for exercising applicable consumer rights; those statutory rights cannot simply be waived by contract.
12. How to Exercise Your Rights
Send privacy requests to:
help@gigdaze.com
Please describe the request and identify the GigDaze account involved.
We may need to verify your identity before fulfilling a request.
We will respond within the timeframe required by applicable law.
If applicable law provides a right to appeal our decision on a privacy request, you may submit an appeal by replying to our response or contacting the same email address and stating that you wish to appeal.
You are not required to pay a fee for ordinary privacy requests unless applicable law permits a fee in exceptional circumstances, such as manifestly unfounded or excessive requests.
13. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information.
These measures include controls related to authentication, access, data storage, network exposure, and credential handling.
However, no Internet service, storage system, or security control can guarantee absolute security.
You use GigDaze with that understanding.
14. No Sale or Targeted Advertising
GigDaze does not currently:
- sell personal information;
- rent personal information to data brokers;
- display third-party advertising;
- use personal information for cross-context behavioral advertising.
If those practices change in the future, we will update this Privacy Policy and provide any controls required by applicable law before implementing them.
15. Children
GigDaze is not intended for anyone under 18.
We do not knowingly collect personal information from people under 18 through registered accounts.
If you believe a person under 18 has created an account, contact help@gigdaze.com.
16. Changes to This Privacy Policy
We may update this Privacy Policy as GigDaze changes or as legal requirements evolve.
When we make changes, we will update the version and effective date.
If a change materially affects how we process personal information, we may provide additional notice or request renewed acknowledgment or consent where required.
